This Privacy Policy explains how WhatanAidea Solutions FZ LLC, operating under the HomeAideas brand ("HomeAideas", "we", "us", or "our"), collects, uses, stores, shares, and protects information in connection with HomeAideas Canvas, our website, demo request forms, business communications, and related services. HomeAideas is a business-to-business product for architecture firms, interior design studios, real estate companies, property marketplaces, solo professionals, companies, and other business customers. It is not intended for personal, household, consumer, or children's use.

1. Scope and Privacy Roles

This Policy applies to business customers and users, including architecture firms, interior design studios, real estate companies, property marketplaces, solo professionals, company admins, authorized users, demo leads, and business contacts.

For customer project content, including uploaded images, CAD files, sketches, floor plans, project files, materials, workflow selections, instructions, brand references, and generated outputs, HomeAideas generally acts as a processor or service provider on behalf of the business customer.

For account administration, billing, demo requests, sales communications, website analytics, security, legal compliance, and our own business operations, HomeAideas generally acts as a controller.

If an order form, data processing agreement, or other written agreement says something different, that written agreement will control for that customer.

2. Information We Collect

We collect information that you provide to us, information generated through your use of HomeAideas, and limited information from third-party service providers.

Information you provide may include:

  • Business contact details, such as name, work email, phone number, country, company, job title, and meeting availability.
  • Demo request details, such as current rendering workflow, rendering production method, render spend range, and team size.
  • Account and workspace details, such as user names, email addresses, roles, permissions, team membership, workspace settings, and admin actions.
  • Customer Content, such as images, CAD files, sketches, floor plans, project files, materials, assets, workflow selections, instructions, brand references, and other content submitted to HomeAideas by or for a customer.
  • Support and communication records, such as emails, demo notes, support requests, attachments, feedback, and sales communications.
  • Billing and commercial information, such as plan type, invoice details, billing contact details, currency, payment status, and tax or accounting records.

Information collected automatically may include:

  • Device and technical data, such as IP address, browser type, operating system, device type, language, session identifiers, log data, and error reports.
  • Usage data, such as pages viewed, features used, workflow events, generation activity, timestamps, clicks, and approximate location derived from IP address.
  • Security data, such as authentication logs, fraud signals, abuse-prevention signals, and system access records.
  • Cookie and analytics data, as described below.

We do not intentionally collect sensitive personal data through HomeAideas. Customers should avoid uploading unnecessary personal data, sensitive data, government IDs, medical data, financial account data, or images of identifiable individuals unless they have the required rights, permissions, and lawful basis to do so.

3. How We Use Information

We use information to:

  • Provide, operate, maintain, and improve HomeAideas.
  • Create and manage accounts, workspaces, users, permissions, and subscriptions.
  • Process demo requests, sales inquiries, onboarding, support, and customer communications.
  • Generate, edit, store, retrieve, and display AI-assisted outputs.
  • Maintain project continuity, workflow history, and customer workspaces.
  • Secure the service, prevent fraud, investigate abuse, enforce our Terms of Service, and protect users and customers.
  • Debug errors, monitor performance, improve reliability, and develop new features.
  • Process invoices, payments, taxes, accounting, collections, and commercial records.
  • Send transactional, service, security, product, demo, and B2B marketing communications.
  • Comply with legal obligations, respond to lawful requests, and resolve disputes.

4. AI Processing and Model Training

HomeAideas uses AI-assisted workflows and may use third-party AI, image-processing, cloud, or infrastructure providers to process Customer Content and generate outputs.

Customer uploads, project files, and generated outputs are not used to train HomeAideas models or third-party AI foundation models by default, unless this is separately agreed in writing with the customer.

We may use usage data, de-identified or aggregated information, workflow performance data, safety signals, and error logs to operate, secure, debug, evaluate, and improve HomeAideas, provided this does not identify a customer or expose confidential project content except as needed to provide support, investigate issues, or comply with law.

5. Data Residency and International Transfers

By default, HomeAideas may store and process data centrally using UAE/MENA infrastructure and selected global service providers where needed to provide, secure, support, and improve the service.

Some data may be transferred to, stored in, or accessed from countries other than the country where the customer or user is located. This may include processing by hosting providers, AI-processing providers, analytics providers, email providers, payment providers, support tools, security tools, and professional advisors.

For customers with legal, regulatory, or contractual data residency requirements, HomeAideas may offer storage and AI processing in a specified country or region for an additional cost, where technically available and agreed in an order form or data processing agreement.

Data residency commitments may still allow limited processing or access outside the agreed region for account metadata, billing records, security logs, support access, backups, disaster recovery, legal compliance, fraud prevention, and globally necessary subprocessors, unless the applicable written agreement says otherwise.

Where required, we will use appropriate contractual, technical, and organizational safeguards for international transfers, such as data processing agreements, standard contractual clauses, or other lawful transfer mechanisms.

6. How We Share Information

We do not sell Customer Content.

We may share information with:

  • Hosting, storage, CDN, and infrastructure providers.
  • AI model, rendering, and image-processing providers.
  • Email, notification, and communication providers.
  • Analytics, diagnostics, observability, and performance providers.
  • Payment, billing, tax, and accounting providers.
  • Customer support and CRM providers.
  • Security, fraud-prevention, and abuse-monitoring providers.
  • Professional advisors, such as lawyers, accountants, auditors, and insurers.
  • Courts, regulators, law enforcement, or authorities where legally required or necessary to protect rights, safety, security, or compliance.
  • Successors or transaction parties in connection with a merger, acquisition, financing, restructuring, or sale of assets.

We disclose categories of service providers publicly in this Policy. Exact vendors, analytics tools, AI providers, infrastructure providers, payment processors, support tools, and subprocessors are available only under NDA, a data processing agreement, an order form, enterprise review, or security review.

7. Cookies and Analytics

Our website and service may use cookies, local storage, pixels, and similar technologies.

We use essential cookies and similar technologies for login, security, session management, preferences, and service operation.

We may also use analytics and performance tools to understand website and product usage, improve user experience, measure campaigns, diagnose issues, and improve reliability where those tools are enabled.

Analytics, performance, marketing cookies, retargeting pixels, or similar non-essential technologies will only be used where enabled and where required consent choices are provided.

You can manage cookies through your browser settings. Disabling certain cookies may affect service functionality.

8. Retention and Deletion

We retain information for as long as reasonably necessary to provide HomeAideas, maintain security, comply with law, resolve disputes, enforce agreements, prevent fraud, and maintain business records.

Customer Content and outputs are generally retained while the customer account, workspace, or applicable order is active, unless deleted earlier by the customer or under a written agreement.

Customers may request deletion by contacting support@homeaideas.com. Approved and verified deletion requests will be completed within 30 days after approval, subject to legal, security, backup, billing, audit, fraud-prevention, and dispute-retention requirements.

Billing, invoice, tax, accounting, fraud-prevention, legal, security, and dispute records may be retained for longer where required or reasonably necessary.

Aggregated or de-identified information may be retained for longer where it no longer identifies a customer, user, or individual.

9. Customer Responsibilities

Customers are responsible for the Customer Content they upload or submit to HomeAideas.

Customers must ensure they have all required rights, permissions, notices, consents, and lawful bases to upload and process project files, client materials, photographs, floor plans, CAD files, brand references, employee information, contractor information, and any personal data included in Customer Content.

Customers should avoid uploading unnecessary personal data or sensitive data. HomeAideas is not designed for medical records, financial account data, government IDs, children's data, biometric identification, or other highly sensitive personal data.

If Customer Content includes personal data relating to clients, employees, contractors, property owners, or other third parties, the customer is responsible for providing any required privacy notices and complying with applicable data protection laws.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.

More information about operational safeguards, account security, vulnerability reporting, incident response posture, and vendor security review is described in our Security materials when available.

No online service or storage system can be guaranteed to be completely secure. Customers are responsible for managing their users, permissions, credentials, devices, and internal access controls.

If you believe there has been unauthorized access to your account or workspace, contact support@homeaideas.com promptly.

11. Privacy Rights and Requests

Depending on your location and applicable law, you may have rights to access, correct, delete, restrict, object to, port, or receive a copy of your personal data, withdraw consent, opt out of certain processing, or complain to a regulator.

We may need to verify your identity, authority, account relationship, or customer authorization before responding. We aim to respond within 30 days after verification, unless a different period is required by applicable law or an extension is permitted.

For personal data that we process as a processor on behalf of a customer, we may refer the request to the relevant customer or ask you to contact that customer directly.

12. B2B Marketing Choices

We may send business contacts product updates, demo follow-ups, sales communications, newsletters, event invitations, and similar B2B marketing communications.

You may opt out of marketing communications by using an unsubscribe link where available or by contacting support@homeaideas.com.

Even if you opt out of marketing, we may still send transactional, service, security, legal, billing, and account-related messages.

13. Children

HomeAideas is not directed to children or personal consumer use. We do not knowingly collect personal information from children.

If you believe a child has provided personal information to HomeAideas, contact support@homeaideas.com and we will take appropriate steps to delete the information where required by law.

14. Third-Party Links and Services

HomeAideas may link to third-party websites, tools, integrations, or services. This Policy does not apply to third-party services that we do not control.

If you use third-party services, their own terms and privacy policies apply.

15. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify customers, such as by email, account notice, website notice, or updating the "Last updated" date.

The updated Policy applies from the effective date stated in the updated version.
